This information relates to projects that

Have ethical approval from a Reviewing HREC (not Eye and Ear HREC)
The Eye and Ear is involved in the project for recruitment purposes only

If the Eye and Ear is involved in the project for more than recruitment only then this pathway does not apply and you should review the Research Governance Pathways information in more detail and/or contact the Research Office.

For this pathway to be relevant all the following must apply:

The involvement of the Eye and Ear extends only to providing project information to patients / staff
Participants will not be Eye and Ear patients for the purposes of the project
The project does not require approval from the Eye and Ear Human Research Ethics Committee (HREC)
If the project is a research project then the project must have ethical approval from a registered NHMRC Human Research Ethics Committee (HREC) and the Eye and Ear must be listed as a recruitment site in the application.

The Project Team Leader / Principal Investigator must submit the following documentation to the Eye and Ear Research Office as detailed below

1. Research Project Application Cover Sheet

2. Head of Supporting Department form – Details for each of the supporting departments are available in the Involvement of Eye and Ear Hospital departments in research projects.

3. Protocol including details of recruitment procedures and which includes Eye and Ear as a recruitment site

4. HREA which includes Eye and Ear as a recruitment site

5. Letter of HREC approval referring to the same Protocol version submitted in 3 above

6. Recruitment material – poster / letter / website content

The Research Project Application Cover Sheet collects information specific to the Eye and Ear which is not included in the Human Research Ethics Application Form or other documents.

Do not submit a separate cover letter. There is room in the Cover Sheet to include other relevant information for the project.
Submit a detailed protocol including:
- all documentation provided to participants
- all data collection instruments

For investigator initiated studies there are several templates you could use as a starting point:
- The Spirit Group have developed a Standard Protocol Items: Recommendations for Interventional Trials which can be accessed from the SPIRIT website
- Transcelerate offer a Common Protocol Template which can be accessed from the Transcelerate website

Submit all recruitment related documentation such as:
- Posters
- Letter of invitation
The version of the document submitted must be the version listed on the letter of approval or subsequent letter of approval of amendment by the Reviewing HREC.
Requests for authorisation for recruitment only can be submitted at any time (there is no deadline).

Submit the documentation listed above by email to the Research Office.

The request will be considered by the Research Manager, Heads of Units/Clinics involved and the Executive Director Medical Services.

You will receive a response within 2 weeks, including if further time is required.
